Actions

The Actions view lists follow-up work linked to equipment in the current project. Use it to review required work, update action information, and track actions through to completion.

Each row is an action record. An equipment item can have several actions, so the same equipment tag may appear on several rows.

For step-by-step instructions, see Manage actions.

The numbered areas in this screenshot match the section headings below.

Find the Actions controls1 marks the toolbar above the column headings, including Update, Open, and Close. 2 marks the checkbox, three-dot button, and arrow at the left of each row. 3 marks the grid columns containing Status, Tag No, Priority, and location. These numbers match the sections below.123

Find Update, Open, and Close above the grid’s column headings. Commands may appear in a menu depending on the available width. Toolbar actions work with the action selection. A selected action may be on another page or hidden by a filter; the visible grid does not define the scope of an update.

ControlWhat it does
Selection CountShows how many actions are selected, including selected rows on other pages or hidden by filters.
RefreshReloads the grid data. Does not clear the selection.
UpdateChanges the included fields on every selected action through a review-and-confirm dialog.
OpenReopens selected actions that need further work. The dialog accepts an optional comment.
CloseMarks selected actions as closed. The dialog accepts an optional comment.
Grid LayoutOpens commands to save the current grid layout to your account or load it on another device.

The action dialogs below describe each operation. Shared selection behaviour is documented in Selecting Items.

The checkbox, three-dot button, and dropdown arrow are at the left of each row. Opening a record and selecting it are separate actions.

ControlWhat it does
Row checkbox □Selects or deselects the action for toolbar actions such as Update, Open, and Close.
Three-dot button ···Opens that action’s Window beside the grid. Green marks the action currently displayed; click another row’s three-dot button to switch records.
Row-menu arrow ▾Opens the menu for that action. Its commands use this row, independently of the checked rows.
View ActionOpens that action’s individual overview page in a new browser tab. The project grid remains open in the original tab.

For the Window’s fields, editing controls, inspection links, and History, see Action Window.

For selection menus, filters, sorting, and pagination, see Project Dashboard Interface.

Read the columns to the right of the row controls. The screenshot shows Status, Tag_no, Priority, Site, and Area; scroll the grid horizontally for additional columns. The columns below combine equipment information, the action’s type and details, and its status and audit information.

ColumnWhat it tells you
Tag_noThe tag number of the equipment linked to the action. Several actions can share the same tag.
SiteThe equipment’s site.
AreaThe equipment’s area within the site.
LocationMore specific location information for the equipment.
DescriptionThe equipment description, rather than the action details.
CertThe equipment certificate number.
Is_simpleWhether the linked equipment is recorded as a simple device.
Ac_zoneThe equipment’s area classification zone.
Exr_protThe equipment’s protection type.
Exr_groupThe equipment’s gas/dust group rating.
Exr_tclassThe equipment’s temperature class.
ColumnWhat it tells you
Action_typeThe kind of follow-up work or review represented by the action. Its type determines the individual record’s available decisions.
Action_detailsThe required work or proposed changes, distinct from the equipment Description.
ColumnWhat it tells you
StatusOpen means the action needs further work; Closed records a completed or otherwise resolved issue.
PriorityThe action’s priority, displayed numerically in the grid. Use Update’s named High, Medium, Low, and Unassigned choices when setting it.
CommentSupporting context recorded for the action. This is the Comment field in Update.
Action_other_1 to Action_other_6Project-defined action values, corresponding to other_1 to other_6 in Update.
ColumnWhat it tells you
Opened_dtThe action’s recorded opening date.
Last_action_byThe person recorded against the latest action on this record.
Last_action_dtThe timestamp recorded against that latest action.
File_name_storedThe stored inspection-document file reference, where one is attached. The individual Window provides the document-opening control.

Use Update to change supported fields on the checked rows. The Action Window provides the individual record’s information and controls.

Use these dialogs after selecting actions in the grid. They act on the checked rows, independently of the action displayed in the Window.

Update applies the same field values to one or more selected actions. It is suitable for shared priority, comments, or project-defined values.

The dialog defines which fields are included in the update. Review and confirmation are separate stages.

ControlWhat it does
+ Add fieldAdds a field to the proposed update. Fields not included in the update retain their existing values.
Field valueSets the proposed value for an included field. The same proposed value applies to every selected action.
Toggle all fieldsShows all supported fields together in the proposed update. Review which fields and values are included before continuing.
Remove field ×Removes that field from the proposed update, leaving its existing values unchanged.
ReviewShows the proposed changes before they are applied. Provides a chance to check the affected records and values.
ConfirmApplies the reviewed update. Completing the confirmation is required to apply the changes.
Close ×Dismisses the dialog without applying the proposed update.

Action updates support the following fields.

FieldMeaning
PriorityChoose High, Medium, Low, or Unassigned.
CommentSupporting context for the action.
other_1 to other_6Project-defined action fields.

Open returns closed actions to the active action workflow without creating replacement records. The dialog accepts an optional comment explaining why further work is needed.

ControlWhat it does
CommentAdds an optional comment explaining why the selected actions are being reopened.
Open ActionsReopens the selected actions.

Close marks actions as closed. The dialog accepts an optional comment explaining the outcome. Closure changes the action’s status; it does not delete the action record.

ControlWhat it does
CommentAdds an optional comment explaining why the selected actions are being closed.
Close ActionsCloses the selected actions.

Actions can be created by inspection results and other project workflows that require follow-up. They retain their relationship to the affected equipment.

The Equipment view also provides Edit → Add Action for creating action records related to selected equipment. See Equipment — Add Action.

Some actions review proposed equipment changes or other inspection outcomes. The available decisions depend on the action’s type and state and belong to the individual Action Window.

ControlWhat it does
Create DefectCreates a related defect where this decision is available. The individual action form provides a Defect Description field for the finding.
Apply ICS ChangesApplies the equipment changes proposed by an inspection check sheet for an ICS Equipment Update action.
Ignore ICS ChangesDismisses those proposed equipment changes.

These decisions concern the displayed action and its linked equipment. Bulk Update changes action fields such as Priority and Comment; closing an action changes its status. Neither operation should be treated as applying the proposed equipment changes.

These guides cover tasks using the Actions view.
