Documents
The Documents view lists project files such as certificates, drawings, calculations, inspection records, and photos. A document can be held at project level or linked to equipment.
The Document Window describes an individual document opened from a row. The Equipment Window’s Documents section describes documents linked to that equipment, rather than the whole project library.
View and toolbar controls
Section titled “View and toolbar controls”Commands appear in the toolbar or its grid menu, depending on width. The menu beside Documents changes between Live and Archive.
| Control | What it does | Scope / behaviour |
|---|---|---|
| Selection Count | Shows the number of selected documents. | Includes selected records hidden by filters or pagination. |
| Refresh | Reloads the grid. | Does not clear the selection. |
| Scope to selection | Limits the working set to selected records. | Shared scope rules are described in Selecting Items. |
| View / View in Tab / Download | Opens a viewer, a browser tab, or a downloaded copy. | The selected document. |
| Add | Opens Add New. | Creates a document after review and confirmation. |
| Update | Changes metadata or the attached file. | One document or the document selection. |
| Archive | Moves documents out of Live. | Selected documents, after confirmation. |
| Delete | Permanently removes project documents. | Selected documents; no document Trash view. |
| Grid Layout | Saves, loads, or clears a layout. | Browser and account layouts are distinct. |
| More options beside Documents | Switches between Live and Archive. | The current document record view. |
View and download
Section titled “View and download”The document list provides explicit viewing actions rather than an always-visible viewer beside the grid.
| Control | Behaviour |
|---|---|
| View | Opens the document viewer. |
| View in Tab | Opens the document in a browser tab. |
| Download | Saves a copy through the browser. |
Viewer behaviour can depend on the document and viewing method. View in Tab and Download provide alternative routes when a document does not display in the viewer.
Add New uses a field-selection form followed by review and confirmation.
| Field / control | Meaning |
|---|---|
| Doc Type | The document category; required. |
| Document No | The document identifier; required. |
| Issue | The document’s issue or revision; required. |
| File | The file to attach; required. |
| + Add field | Includes optional metadata such as Description, Comment 1, or Comment 2. |
| Toggle all fields | Shows or hides the complete optional field set. |
| Review | Shows the proposed document information and selected file. |
| Confirm | Adds the reviewed document. |
Adding a project document does not automatically identify which equipment should receive it. Equipment links are described below.
Update
Section titled “Update”The same Update entry point supports one document or several selected documents. With several documents selected, the dialog identifies a bulk update.
| Field / control | Meaning / behaviour |
|---|---|
| Doc Type / Issue / Doc No | Proposed category, revision, or identifier values. |
| Description / Comment 1 / Comment 2 | Proposed description and supporting notes. |
| File | A replacement file. |
| Archive existing | Preserves the previous version in the document archive when replacing a file. |
| + Add field | Includes only the fields to change. |
| Review | Shows the proposed before-and-after values. |
| Confirm | Applies the reviewed update. |
Only included fields change. Omitted fields retain their values; this is different from treating every empty field in a form as an instruction. Selected records can remain selected outside the visible page or filters.
Document type filter
Section titled “Document type filter”Expand Document Types Filter reveals the category buttons. The filter’s help dialog explains Ctrl + click for selecting multiple document types.
The current categories are grouped here for recognition; the application’s buttons are individual categories.
| Category group | Choices |
|---|---|
| People and classification | Qualifications, HAC Drawings, HAC Documents. |
| Technical records | Drawings, Calculations, Certificates, Annexes, Justifications, Manufacturer Documents. |
| Testing and inspections | Test Records, Ex-Online Inspections, Non-Ex-Online Inspections, Audits. |
| Images and links | Photos, User Photos, URLs. |
| Other / project-defined | Other Docs, User Defined 1–4. |
Category filtering changes which documents are visible. It does not clear a selection. The add form can label custom categories Other 1–4, while the filter uses User Defined 1–4.
Grid and row controls
Section titled “Grid and row controls”Row controls concern one document; toolbar commands concern the selection.
| Control | What it does | Scope / behaviour |
|---|---|---|
| Row checkbox / header select menu | Selects documents individually or by a defined scope. | Shared rules are described in Selecting Items. |
| Three-dot button | Opens document details beside the grid. | The document on that row. |
| Row-menu arrow | Opens additional row actions. | The individual document. |
| Column filters / headings | Filters visible rows or sorts them. | Does not clear the selection. |
| Pager / Page Size | Changes the visible page or number of rows. | Does not clear selected documents on other pages. |
Current columns can use labels such as Linked_items, Doc_type, and Document_no_issued. They represent equipment relationships, document category, and document identification rather than separate workflows.
Equipment links
Section titled “Equipment links”Equipment → Link → Link Documents links existing project documents to selected equipment. The selected primary equipment appears above the linking grid; documents already linked to those items are hidden.
The Equipment Window’s Documents section shows existing relationships. Removing a relationship does not delete the document from the project. Deleting the project document is a separate operation.
Archive and deletion
Section titled “Archive and deletion”Archive retains a document outside the live view. Go to Archive opens archived documents, Un-archive recovers selected records after confirmation, and Go to Live returns to the live view.
Delete is permanent: the document is not moved to Trash and is automatically unlinked from equipment. OK confirms the deletion warning. Documents supplied through Account Resources are protected from project-level deletion.
