Defects

The Defects view lists issues linked to equipment in the current project. It is the working view for reviewing findings, changing defect information, and opening or closing defects.

Each row is a defect record. An equipment item can have several defects, so the same equipment tag may appear on several rows.

For step-by-step instructions, see Manage defects.

The numbered areas in this screenshot match the section headings below.

Find the Defects controls1 marks the toolbar above the column headings, including Update, Open, and Close. 2 marks the checkbox, three-dot button, and arrow at the left of each row. 3 marks the grid columns containing Status, Tag No, Priority, and location. These numbers match the sections below.123

Find Update, Open, and Close above the grid’s column headings. Commands may appear in a menu depending on the available width. Toolbar actions work with the defect selection. A selected defect may be on another page or hidden by a filter; the visible grid does not define the scope of an update.

ControlWhat it does
Selection CountShows how many defects are selected, including selected rows on other pages or hidden by filters.
RefreshReloads the grid data. Does not clear the selection.
UpdateChanges the included fields on every selected defect through a review-and-confirm dialog.
OpenReopens selected defects that need further work. The dialog accepts an optional comment.
CloseMarks selected defects as closed. The dialog accepts an optional comment.
Grid LayoutOpens commands to save the current grid layout to your account or load it on another device.

The action dialogs below describe each operation. Shared selection behaviour is documented in Selecting Items.

The checkbox, three-dot button, and dropdown arrow are at the left of each row. Opening a record and selecting it are separate actions.

ControlWhat it does
Row checkbox □Selects or deselects the defect for toolbar actions such as Update, Open, and Close.
Three-dot button ···Opens that defect’s Window beside the grid. Green marks the defect currently displayed; click another row’s three-dot button to switch records.
Row-menu arrow ▾Opens the menu for that defect. Its commands use this row, independently of the checked rows.
View DefectOpens that defect’s individual overview page in a new browser tab. The project grid remains open in the original tab.

For the Window’s fields, editing controls, inspection links, and History, see Defect Window.

For selection menus, filters, sorting, and pagination, see Project Dashboard Interface.

Read the columns to the right of the row controls. The screenshot shows Status, Tag_no, Priority, Site, and Area; scroll the grid horizontally for additional columns. The columns below combine equipment information, the finding, and the defect’s resolution and audit information.

ColumnWhat it tells you
Tag_noThe tag number of the equipment linked to the defect. Several defects can share the same tag.
SiteThe equipment’s site.
AreaThe equipment’s area within the site.
LocationMore specific location information for the equipment.
DescriptionThe equipment description, rather than the defect finding.
CertThe equipment certificate number.
Is_simpleWhether the linked equipment is recorded as a simple device.
Ac_zoneThe equipment’s area classification zone.
Exr_protThe equipment’s protection type.
Exr_groupThe equipment’s gas/dust group rating.
Exr_tclassThe equipment’s temperature class.
ColumnWhat it tells you
Item_noThe inspection item number associated with the finding.
InspectionThe inspection associated with the defect.
ResultThe recorded inspection answer: N means non-conformance; NC means Not Checked.
Defect_detailsThe recorded finding, distinct from the equipment Description.
ColumnWhat it tells you
StatusOpen means the defect needs further work; Closed records a completed or otherwise resolved issue.
PriorityThe defect’s priority, displayed numerically in the grid. Use Update’s named High, Medium, Low, and Unassigned choices when setting it.
Rectification_actionWork performed or proposed to resolve the defect. This is the Rectification field in Update.
User_commentSupporting context for the defect. This is the Comment field in Update.
Defect_other_1 to Defect_other_6Project-defined defect values, corresponding to other_1 to other_6 in Update.
ColumnWhat it tells you
Entry_dtWhen the defect was created.
CommentThe comment recorded with the action information, shown separately from User_comment.
Actioned_byThe person recorded against the defect’s action information.
Actioned_dtThe timestamp recorded against that action. This is separate from the defect’s creation date.

Use Update to change supported fields on the checked rows. The Defect Window provides the individual record’s information and controls.

Use these dialogs after selecting defects in the grid. They act on the checked rows, independently of the defect displayed in the Window.

Update applies the same field values to one or more selected defects. It is suitable for shared rectification information, priority, comments, or project-defined values.

The dialog defines which fields are included in the update. Review and confirmation are separate stages.

ControlWhat it does
+ Add fieldAdds a field to the proposed update. Fields not included in the update retain their existing values.
Field valueSets the proposed value for an included field. The same proposed value applies to every selected defect.
Toggle all fieldsShows all supported fields together in the proposed update. Review which fields and values are included before continuing.
Remove field ×Removes that field from the proposed update, leaving its existing values unchanged.
ReviewShows the proposed changes before they are applied. Provides a chance to check the affected records and values.
ConfirmApplies the reviewed update. Completing the confirmation is required to apply the changes.
Close ×Dismisses the dialog without applying the proposed update.

Defect updates support the following fields.

FieldMeaning
RectificationInformation about work performed or proposed to resolve the defect.
PriorityChoose High, Medium, Low, or Unassigned.
CommentSupporting context for the defect.
other_1 to other_6Project-defined defect fields.

Open returns closed defects to the active defect workflow without creating replacement records. The dialog accepts an optional comment explaining why further work is needed.

ControlWhat it does
CommentAdds an optional comment explaining why the selected defects are being reopened.
Open DefectsReopens the selected defects.

Close marks defects as closed. The dialog accepts an optional comment explaining the outcome. Closure changes the defect’s status; it does not delete the defect record.

ControlWhat it does
CommentAdds an optional comment explaining why the selected defects are being closed.
Close DefectsCloses the selected defects.

Defects are normally created from findings in uploaded inspection results and remain linked to the affected equipment and inspection.

The upload option Ignore NC inspection results (do not create defects) prevents applicable NC results from creating defects. Closing an existing defect is a separate operation; it changes that defect’s status rather than removing the finding or equipment record.

The Equipment view also provides Edit → Add Defect. Its entry point is described in Equipment — Edit menu.

These guides cover tasks using the Defects view.
